OK, that’s the hype. Now for the formal stuff:

All Executive positions are open – currently filled by multi-tasking volunteers – open for interested parties to apply.

These are the office of President, the office of Secretary, and the office of Treasurer.

Often, especially in smaller organisations, these are filled by the same person. We want to start as we intend to proceed and want these to be separate rôles.

Before looking at the duties, statutory obligations and rewards for each, it must be clearly stated that no office will attract any financial reward. All Executive positions — statutory office bearers as prescribed by our Constitution, the Committee of Management and Members of advisory sub-committees — are and will remain totally voluntary in accordance with our Constitution. Worse than that, you’ll have to pay for the privilege: annual membership fee is $10, and $2 concessional.

Our founding members are obsessive about transparency. This is not a business, but a vehicle for the benefit of a disadvantaged segment of the population.

We’re now staring down the barrel of the third decade of the 21st century, and we’re not being held back by the technologies of the nineteen-eighties. While living or working in the region of (or ready access to) our headquarters at Ettalong Beach would be advantageous, our Constitution provides for meetings to be via electronic media. We use online chat and videoconferencing but enjoy getting together when it’s convenient. Our meetings right now are ad-hoc, but we expect that the committee will move to something more on a regular basis, probably monthly, so that convenient times can be scheduled for mutual convenience given that it will always be a small group.

We already have our own secure private document cloud, so the Secretary and Committee can readily access our documents from any compliant web browser (Chrome, Firefox, Opera, Safari and others) with appropriate access & audit controls.

We have a Membership Management System, largely self-maintained by members as to personal details. This includes a closed social media sub-system for members.

We have both a basic accounting package and full Enterprise Resource Planning (ERP) web-based software operational now. This means that both rôles can be managed remotely with realtime reporting.

We follow a management model (pioneered by Buy1GIVE1) whereby all administrative expenses are met by members’ and sponsors’ subscriptions so that donations all go undiminished to the causes determined from time to time by our Grants Sub-committee.

President

Duties:
• preside over committee meetings
• ensure regulatory compliance
• oversee committee activities
• any other statutory duties
• liaise with the all sub-committees

Desired skill-set:
• a history of advocacy in the disability sector
• assurance as the public face of the foundation
• understanding of the statutory requirements of a not-for-profit incorporated association, progressing towards registered charity status

Responsibilities:
• ensure compliance with our legal obligations as to non-financial record-keeping and reporting.

Secretary

Duties:
• manage official correspondence
• maintain minutes of meetings
• oversee register of members
• any other statutory duties including those of the Public Officer
• liaise with the Legal sub-committee

Desired skill-set:
• basic keyboard skills
• competence with text editing and basic spreadsheet functions
• understanding of the statutory requirements of a not-for-profit incorporated association, progressing towards registered charity status

Responsibilities:
• ensure compliance with our legal obligations as to non-financial record-keeping and reporting.

Treasurer

Duties:
• administer the Foundation’s financial systems
• administer Chart of Accounts
• control receipts & expenditure
• manage bank accounts (general trading account and imprest account with associated debit card)
• prepare regular financial statements
• ensure fiscal statutory compliance
• liaise with Financial & Fundraising sub-committees
• liaise with external auditors to be appointed by the Financial sub-committee

Desired skill-set:
• comfort with non-traditional web-based Accounting/ERP systems
• competence to generate & present interim and final accounts
• confidence to ensure executive compliance with appropriate accounting standards

Responsibilities:
• ensure compliance with our legal obligations as to financial record-keeping and reporting.
